1. Count the openings
List external doors, staff-only internal doors and vehicle gates. Note which are shared property, and take photos of each door, frame, lock and nearby cable route.
2. Map the people
Estimate staff, contractors and regular visitors. Identify groups needing different areas or hours, including cleaners and after-hours managers.
3. Decide who manages it
Name a system owner and day-to-day administrator. Agree who issues credentials, removes leavers and handles lost cards. Consider how to access the premises during maintenance or an interruption.
